Although many arrangements are already made before you arrive in Eindhoven, there are some steps that you need to take on arrival in order to make your stay more comfortable.
Students with the non-EU nationality (who need a visa and/or residence permit) will be contacted to make an appointment to arrange administrative matters.
Of the steps below, step 5 will be taken care of for you.
If you have applied for housing through the university housing office, you can collect your key at Vestide, the housing corporation with which TU/e cooperates. Information about how and when to collect your key will be provided to you before arrival.
The Vestide office is walking distance from the TU/e campus or the central railway station. For directions, follow this link.
The address is:
5611 HD Eindhoven
Opening hours: 9.00-17.00 Monday to Friday.
At Vestide you will sign a rental agreement for a maximum of six months. If you are staying longer than six months, you can extend your initial six-month rental agreement by contacting Vestide at least six weeks before the end of your rental agreement.
2. Announce yourself at your Department
TU/e is located close to the railway station. After your arrival you should go to the ECTS coordinator of your Department. He or she will provide you with a short introduction to the Department and inform you of the practical arrangements that need to be made. If you are going to take part in a research project or an internship, please also inform your supervisor of your arrival.
3. Collect your student card at service desk of Education and Student Affairs.
On the first floor of MetaForum of the TU/e campus (MF 1.214), you will find the Education and Student Affairs / International Office.
At the service desk you can collect your student card (you need to upload a photo before your student card can be made). Information regarding your TU/e e-mail address and login information for OSIRIS will be sent to your personal e-mail before arrival. When you have received this information, you can upload a photo for your student card.
Education and Student Affairs / International Office offers many services to international students. Just go to the service desk for help. Usually you will get an immediate answer to your question or an appointment may be made with a student advisor or international relations officer. The Education and Student Service Center is open on weekdays between 8.30 and 17.00.
4. Arrange a residence permit
Check the following website to see if you require a residence permit. If you do require a residence permit, we will apply for you before your arrival. The International Office will inform you about the procedure.
5. Registering at city hall
All international students who are staying in Eindhoven for more than four months must register at city hall. An appointment will be arranged for all non-EU students that have an appointment with Angie Lammen (this is arranged because of the needed immigration procedures).
To register at city hall you need to make an appointment by calling (040) 238 6000. You will hear a recorded message in Dutch. The message asks you to press 1 for English. Once you have done this the tape continues with other options, but you can immediately press 9 (you do not need to wait for the tape to end) to get someone on the line who speaks English and who can help you to make an appointment.
An appointment for registration at city hall is possible Tuesdays through Fridays.
City hall address: Stadhuisplein 10, 5611 EM Eindhoven.
Take the following documents with you to your appointment:
- housing contract;
- birth certificate (sometimes legalized and/or verified*);
- proof of enrolment at TU/e;
- documents of your marriage or birth of child (legalized).
On the website of the Dutch government you can find more information about the legalization/verification procedure.
